This article will review best practices on how to set yourself, your team, and your Campaigns up for success regarding scheduling sessions with Sages. We will review the importance of setting up availability, assigning Campaign presenters, and an overview of the scheduling flow.

It is vital that all users in a workspace set up their availability in Sagetap. This way, when a user is assigned as a presenter for a Campaign, Sages can only select meeting times that work with their schedule. Setting up availability is twofold, consisting of setting your Availability and adding Calendars.

Setting Availability

  • Navigate to the Account Settings tab in the left navigation bar on your profile

  • Click Availability

  • Here you will first be prompted to Add Calendar

    • You can add more than one calendar for Sagetap to pull from

  • Select your Minimum Notice Period, which establishes how far in advance a Sage can book a session with you

  • The last element on this page is setting your general workweek availability

While it is not necessary to configure both your Calendar and Availability, we recommend doing both as it makes certain that you are well-equipped to book with Sages in a way that ensures you are not double booked.

Campaign Presenters

Campaign presenters determine which calendars and availability are used when scheduling sessions. Presenter assignment happens after a Sage application is accepted.

  • You can assign one or more presenters to a Campaign.

  • The presenters you assign determine whose availability is used for scheduling.

  • Presenter settings can be updated at any time from the Team tab within Campaign settings.

For a full overview of how application review, participant assignment, and scheduling work together, see Accepting Applications and Scheduling Meetings.

Scheduling a call

Once you accept a Sage application and assign presenters, you can coordinate a meeting time using calendar sharing or proposed times.

Scheduling options vary depending on whether you and the Sage share calendars.
