An overview on all aspects of scheduling a session in Sagetap

This article will review best practices on how to set yourself, your team, and your Campaigns up for success regarding scheduling sessions with Sages. We will review the importance of setting up availability, assigning Campaign presenters, and an overview of the scheduling flow.

It is vital that all users in a workspace set up their availability in Sagetap. This way, when a user is assigned as a presenter for a Campaign, Sages can only select meeting times that work with their schedule. Setting up availability is twofold, consisting of setting your Availability and adding Calendars.

Setting Availability

  • Navigate to the Account Settings tab in the left navigation bar on your profile

  • Click Availability

  • Here you will first be prompted to Add Calendar

    • You can add more than one calendar for Sagetap to pull from

  • Select your Minimum Notice Period, which establishes how far in advance a Sage can book a session with you

  • The last element on this page is setting your general workweek availability

While it is not necessary to configure both your Calendar and Availability, we recommend doing both as it makes certain that you are well-equipped to book with Sages in a way that ensures you are not double booked.

Campaign Presenters

When one user is assigned as presenter for a Campaign, only their availability will be pulled from when Sages try to schedule a session.

When more than one user is assigned as presenter, the presenters collective availability is shared. This means that Sages can only book meetings when all presenters are available.

You will automatically be prompted to assign presenters when going through the Campaign creation flow, however you can always retroactively change your presenters by clicking on the Campaign and selecting the Team tab within the Campaign settings.

If you do not assign presenters for a Campaign, a Sage can request to book a meeting at any time. The user who accepts the application will then automatically be assigned as Campaign presenter.

Scheduling a Call

Once you either receive an application from a Sage or a Sage accepts your invitation to a Campaign, you will need to figure out a meeting time that is convenient for all parties.

A Sage will either share their availability for you to select a convenient time, or they will propose times to meet. Should none of the times work, you can go ahead and propose new times yourself, or share your calendar with the Sage to select an alternate time.
