Accepting Applications and Scheduling Meetings

Review applications and schedule sessions with Sages

Sagetap uses a two-step workflow for applications and scheduling. You first review and accept Sage applications, then assign participants and schedule the session. This approach gives you the flexibility to route sessions to the right representatives and decide who should attend before committing to a meeting time.

How the Sage application flow works

Sage applies to a Campaign

A Sage applies to meet with you by submitting an application. Depending on the Campaign setup, the application may include proposed times or calendar sharing. No meeting is scheduled until you accept the application.

Review and accept

You review the application and choose to accept or decline. When accepting, you can optionally add a reason for approval.

Assign participants

After accepting the application, select Assign Participants. A scheduler view opens with a list of eligible Vendor participants. You can select one or more participants for the session. The person approving the application does not need to be a participant.

The participants you select determine which calendars and availability are used for scheduling. You can complete scheduling immediately or hand it off to the assigned participants.

Schedule the session

Once participants are assigned, scheduling adapts based on calendar setup.

  • If the Sage has a linked calendar and has chosen to share it, you can book a time that fits both parties’ availability. You can add or remove Vendor participants to improve availability and you’ll see an alert if no overlapping time exists. The Sage can accept the scheduled time automatically or request a reschedule.

  • If the Sage does not share a calendar but the you do, you can propose times or share your calendar view. The Sage can accept or propose new times.

  • If neither you nor the Sage shares a calendar, you can propose times manually. The Sage can accept or propose alternatives until a time is agreed on.

Meeting confirmation

Once scheduled, the meeting is added to all relevant linked calendars for the Sage and your selected Vendor participants. Notifications are sent automatically, and the session appears in Bookings under the Upcoming tab for both parties.

What this enables

The Accept First application flow separates application review from scheduling. This allows you to approve the right Sages and assign the right participants before committing to a meeting time, while still supporting calendar sharing and proposed times when appropriate.
